Voxmin ("Company," "we," "us," or "our") helps singers and creators transform songs into karaoke-ready tracks. This Privacy Policy describes how we collect, use, store, and share personal data when you visit our website, download tools, purchase credits, or access any Voxmin product (collectively, the "Service"). By using the Service, you agree to the practices outlined below. If you do not agree, please discontinue use immediately.

1. Information We Collect

1.1 Information you provide directly

• Account details: Name, email address, password, country, and preferred language.
• Payment information: Billing address and transaction identifiers supplied by payment processors. We do not store full card numbers.
• Profile content: Avatar images, band or studio names, social handles, and notes you add to projects or setlists.
• Support requests: Information shared when you contact [email protected] or [email protected], including attachments or screenshots.

1.2 Information collected automatically

• Usage data: IP address, approximate country, country-detection source, device type, browser version, time zone, feature interactions, crash logs, and conversion metrics. For anonymous song previews and other metered guest features, we use the canonical IP received through our trusted server proxy to enforce the allowance and prevent repeated or abusive use.
• Cookies and similar technologies: We use cookies, local storage, and analytics pixels to remember preferences, maintain sessions, and understand product performance. You can adjust cookie preferences in your browser settings.

1.3 Content you process through Voxmin

• Media inputs: Audio or video URLs, uploaded stems, lyric files, and metadata. We only retain this content temporarily to deliver requested exports unless you choose to save it in your library.
• Generated outputs: AI-generated lyrics, song-production descriptions, song previews, full songs, karaoke videos, instrumental mixes, lyric timing data, and setlist configurations saved to your Account.

1.4 Information from third parties

• Authentication providers (if you log in with a third-party service).
• Payment processors that confirm a transaction succeeded or failed.
• Analytics platforms that aggregate product usage trends.

2. How We Use Your Information

We use personal data for the following purposes:

• Provide, operate, and maintain the Service, including credit accounting and file delivery.
• Personalize your experience with saved preferences, project history, and suggested workflows.
• Process payments, prevent fraud, and comply with tax or accounting regulations.
• Communicate with you about updates, policy changes, service notices, and feature tips. You may opt out of non-essential emails at any time.
• Offer customer support and investigate reported issues or abuse.
• Improve the Service through analytics, research, A/B testing, and product development.
• Enforce our Terms and Acceptable Use Policy, and protect Voxmin, our users, and third parties from harm.
• Enforce guest quotas, measure demo reliability and acquisition cost, and understand aggregate country-level demand for anonymous song previews.

3. Legal Bases for Processing (EEA/UK Users)

Where GDPR or similar regulations apply, we rely on:

• Contractual necessity when delivering the Service and processing conversions.
• Legitimate interests to secure the Platform, prevent misuse, and improve features.
• Consent for optional analytics, marketing, or when you explicitly grant access to third-party integrations.
• Legal obligations when required to retain invoices or respond to lawful requests.

4. Sharing and Disclosure

We share personal data only with:

• Service providers who host infrastructure, process payments, send emails, or provide analytics. They may only use data as instructed by Voxmin.
• Collaborators you invite, such as bandmates added to a project or setlist.
• Authorities or regulators when required to comply with law, legal process, or to protect the rights and safety of Voxmin or others.
• Successors in the event of a merger, acquisition, or sale of assets, subject to this Privacy Policy.

We do not sell personal data or share it for third-party advertising.

5. Data Retention

• Account records: Retained while your Account is active and for up to seven years afterward to comply with legal and accounting requirements.
• Conversion inputs: Deleted automatically after exports are generated unless you choose to store them in your Voxmin library.
• Generated outputs: Retained until you delete them or close your Account, subject to backup retention cycles.
• Anonymous song-demo audio: Stored privately and scheduled for deletion after the configured demo retention period, which defaults to 24 hours. Playback links are time-limited.
• Guest quota and audit records: The IP address, country snapshot, quota identity, timestamps, outcome, and provider-cost metadata for metered anonymous features may be retained after media deletion for security, fraud prevention, quota enforcement, accounting, and aggregate service analysis. We retain these records only as long as reasonably necessary for those purposes or legal obligations.
• Support communications: Retained for up to three years to improve service quality and resolve repeat issues.

When you delete your Account, we remove or anonymize personal data within a reasonable period, except where retention is required by law or legitimate business needs (for example, combating fraud or resolving disputes).

6. Data Security

We implement administrative, technical, and physical safeguards designed to protect personal data, including encryption in transit, access controls, and auditing. No system is completely secure; you are responsible for keeping your password confidential and using reliable networks when accessing Voxmin.

7. International Transfers

Voxmin is based in India and uses cloud providers located in the United States, European Union, and other regions. When personal data is transferred across borders, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.

8. Your Rights and Choices

Depending on your jurisdiction, you may have rights to:

• Access, correct, or delete personal data.
• Object to or restrict certain processing.
• Port your data to another service.
• Opt out of marketing communications.
• Withdraw consent where processing is based on consent.

9. Children’s Privacy

The Service is designed for adults. We do not knowingly collect personal data from individuals under 18. If you believe a minor has provided personal data to Voxmin, contact us so we can delete the information.

We may update this Privacy Policy to reflect product changes or legal requirements. We will post revisions on this page and notify you via email or in-app notice before material changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
